The conversation starts on LinkedIn. The invite arrives by email.
A LinkedIn reply starts the workflow. The agent answers with live times on LinkedIn, asks for an email once a time is agreed, fills it from your enrichment providers if the lead does not give one, books the meeting, and sends the confirmation from your own mailbox. One sequence, two channels, no copy-paste between tools.

LinkedIn conversations book meetings but cannot send a calendar invite. So someone asks for an email, pastes it into a calendar tool, and hopes the lead sees the invite. Every hand-off between the two channels is a place the meeting falls through.
How the LinkedIn to email workflow runs
One trigger, then each step in order. Every step has its own delay, and every outcome has somewhere to go.
LinkedIn reply
A lead replies on LinkedIn through your HeyReach account.
- 1
Understand & Reply with Calendar
Answers whatever they asked and offers times that are held while the lead decides. Runs until a time is agreed.
- 2
Ask for a detail
Once a time is agreed, asks for an email address on LinkedIn. Up to three asks, a few days apart, before giving up.
- 3
Enrich lead
If the lead never answers, look the email up with your own Prospeo, Apollo or FullEnrich account. Only runs when the field is still missing.
- 4
Book the meeting
Re-checks the slot and books it on the agent’s calendar. A taken slot goes back to the reply step for new times.
- 5
Send an email
The confirmation, from the client’s Gmail or Outlook, so the invite lands in a real inbox.
Build it on the canvas
Start from an empty canvas, pick the trigger, add the steps above and connect each outcome. Test it on a real lead without sending anything, then publish. About ten minutes.
- A LinkedIn conversation that answers their questions and offers real times
- One polite ask for an email, not three
- A calendar invite from a person, by email
- A booked meeting with both channels in one thread in the Unified Inbox
- The email that was found, and which provider found it
- Where each lead is in the sequence on the canvas
- HeyReach connected for the LinkedIn account
- An inbox agent with a connected calendar and mailbox
- Optional: enrichment providers connected
LinkedIn to email questions
Which channel does each step use?
Messages to the lead go out on LinkedIn through HeyReach. Email to the lead is the Send an email step, from the Gmail or Outlook mailbox connected to the workspace. A workflow started by a LinkedIn reply can use both.
Can a workflow start from an email reply and then message on LinkedIn?
No. The LinkedIn message steps need a LinkedIn conversation to reply in, so a workflow that starts on an email reply can notify, email, enrich, push to the CRM and send webhooks, but not send LinkedIn messages.
What if the lead will not share an email?
Ask for a detail gives up after the number of asks you set and takes its No answer path. From there, Enrich lead can look the email up with your own provider accounts, and if nothing is found the Not found path can alert your team instead.
Does the LinkedIn booking template do this?
The LinkedIn booking template goes one step further: it opens the conversation with three held times when a connection is accepted, then follows up, collects email and phone, books and confirms. It is switched on per workspace by our team, so ask us if you want it.
